Refund & Cancellation

The short version.Cancel any time. No minimum term, no early-termination penalty, no exit fee, and no data-rescue charge. Any fees you have prepaid for time you have not used are refunded to you on a pro-rata basis. Your data is yours, and we help you take it with you.
1. How cancellation works
- You cancel. An authorized administrator cancels the subscription; we confirm in writing.
- 24-hour wind-down. Your workspace stays fully usable for 24 hours so you can finish any work in progress. During this window, please switch off anything that keeps creating data — integrations, inbound channels (such as email-to-order or webhooks), and scheduled automations — so that your export is complete. If you would like to start sooner, email our migration team and we will shorten the wind-down where we can.
- Freeze (24 hours after cancellation). Your workspace is snapshotted and switched to read-only (“frozen”). You keep full access to browse and download everything; no new records can be created or changed.
- First export ready. We prepare your first comprehensive export automatically — usually within 24 hours of the freeze, and no later than three (3) business days — and deliver it as a secure, private, expiring download link (never as an email attachment).
- Frozen period — 30 days (extendable to 60 days on written request). Throughout this period you can browse, export, and get migration help. Changed your mind? You may reinstate your workspace at any time before it is wiped.
- Wipe. At the end of the frozen period, your production data is permanently deleted, and we remove your backup copies within 30 days — subject to any legal-hold or mandatory-retention obligations. Any pro-rata refund due is issued at this point, or earlier if you approve the wipe. Your workspace then remains in a cancelled state.
- Resource release. After a cool-down period — during which your subdomain shows a closed-workspace notice and is never reassigned to another customer — your subdomain and other resources are released for reuse.
2. Your data export
- In-product export stays open. You can export your records from inside the product, at any time before the wipe, as often as you like.
- Two comprehensive exports included. Our team prepares a full export automatically when your workspace is frozen. You may request one further comprehensive export at any time during the frozen period — useful to capture anything created after the first snapshot, or to take a fresh, verified copy. Beyond these two, additional comprehensive exports are available and billed; the invoice must be paid in full before delivery.
- What is included. Everything you created — your relational records in open, machine-readable formats, together with a files archive of your uploads, documents, and images. We remove only data specific to the platform’s internal workings, while preserving the keys and relationships you need to rebuild your dataset elsewhere.
- Readable anywhere. Open formats you can inspect with standard tools — spreadsheets, databases, or AI assistants.
3. Migration help
Moving on and off software is real engineering work, and we are ready to help. Our migration team is available by email and chat, and by scheduled screen-share or video. You are entitled to one 15-minute live consultation per comprehensive export (two included); larger or ongoing assistance is available on request. 4. Consumers and sole traders: your 14-day right of withdrawal
If you purchase as a consumer, you have a statutory right to withdraw within 14 days. Because the Service begins immediately at your request, if you withdraw within those 14 days you pay only on a pro-rata basis for the period actually used, and we refund the remainder. Once the Service has been fully performed with your consent, the right of withdrawal ends. You confirm this when you subscribe.
5. Refunds, and when they do not apply
- Refunds are calculated pro-rata on prepaid, unused Subscription Fees and are issued in accordance with our Terms of Service (Sections 9.3 and 13.5).
- Refunds do not apply where we terminate for non-payment (Section 13.6) or for abuse, fraud, or illicit activity (Section 13.7), or as otherwise set out in the Acceptable Use Policy.
- Data wipes and backup deletion are carried out subject to any legal-hold and mandatory data-retention obligations.
